We require our groups to have a current Certificate of Insurance on file, and actively use the insurance expiration date field. Because we also only allow groups to enter event requests up to their insurance expiration date, I have had groups go into their group information and change the expiration date without uploading a current COI. Is there a way to still allow them to upload their own COI but NOT allow them to put the date in the expiration date field? I can do that for them once I verify the current COI is on file.
Hi Emily,
Thanks for the comment. That is something we can look into adding!
Would it be possible to disable the ability for groups to change the typed expiration date unless they upload a new file or have it as an admin only feature? They would still submit for a new group and then the admin would have to write the expiration date to complete the action of approving the group.
Hi @Guest If you enable the reapproval of groups at the classification level, you will be notified of both, and they cannot submit requests until you approve them.
Here is an article on this https://support.mlschedules.com/hc/en-us/articles/19616647369243-Require-Re-approval-for-new-insurance-files
Hi, I am usually notified when they upload their COI, so I check the information soon after, but some were just changing their expiration date only - would the system be able to notify me if just the expiration date is changed? Because that would work too, I'd know to check their account on ML.
Hi @Guest
We cannot prevent that from being changed. However, what may be worth trying is re-approval of the group if they change an insurance file or expiration date.
We can automatically email you and make the group go through the approval process if they change that key information. Do you think that would help?
