There should be a way to look back year to year in the system for paperwork, signed and the COLI.
We have a Purchase Order System called Wincap, you can go year to year and see past information.
Also, if the documentation can be overridden by a new document, or if there was an issue with an outside group, they can scan a document in and delete their signed papers and or insurance. Master Library is forcing me to make copies of signed documents and insurance that should be stored with each groups account in the system, for good!
We had a situation where the outside use group needed to update their COLI it expired mid use of our facilities and they put a document in error in the spot that the insurance was in and I hadn't printed a copy, so we had NO insurance on file. There should be a save to account button from year to year. Thanks Fran @ Seaford UFSD
